How to write a report

How to write a report : A report is a written account of something that one has witnessed, heard, done or investigated. Report writing is a systematic and well organised presentation of facts and findings of an event that has already taken place somewhere. Here, in this post you'll get to read about how to write a report


• What is a Report Writing ? 

A report writing is a factual description of an event or incident that has already taken place. It is accurate and truthful coverage of an event and a report includes only the relevant data and information of a situation or event.


• Format on how to Write a Report

Report writing is generally written in indirect speech and in the third person in simple sentences. A report is presented in a very impersonal manner. It is clearly written with no ornamentation and should avoid unnecessary details. In report writing you should question some question words
e.g. what, when, where, how & why. 


• Why a report is written for

A report is written for newsapapers, school and college megazines, business megazines, fashion and travel megazines etc.


• Report writing format

• Headline : A descriptive title that relates to the contents of the report.
• Place and date of reporting : Here you should mention the place of reporting and date of the event. 
• Opening paragraph : It includes expansion of the headline. It needs to be short as general overview of the report. 
• Account of the event in detail : It is generally written in two parts, 
 (i). Complete account of what happened in its chronological sequence. 
 (ii). The witness remarks. 
• Concluding Paragraph :This will include the action that has been taken so far on that will be taken. It is the last paragraph.


• Report writing topics

There are various topic for report writing. In the examination mostly you will ask to write report on road accident, train accident, flood condition, bank robbery, sports event, fire or on some events like teachers day, independence day, annual day of your school, cultural evening etc

Here, I will be sharing with you some examples of report writing and solved answers of questions taken from the previous years board exam's final papers


• Report writing on a road accident

Q1. A newspaper reporter was sent to report a road accident. He made some notes on his copy. Write a report for a newspaper following the points given below. 

Sonapur - 12 July 2019 - 5:30 pm - 25 kms from Guwahati - Jeep in ditch - local bus - high speed - middle of the road - Jeep braked to avoid collision - swerved, hit tree and overturned - Jeep driver died 3 injured - taken to hospital. 

Ans:                                 ROAD MISHAP
Sonapur : 13 july : A fatal road accident occured yesterday at 5:30 pm near Sonapur, 25 km away from Guwahati. A jeep coming coming from Guwahati collided with a local bus coming from the opposite direction. According to an eye witness, the jeep driver braked to avoid collision but lost control of the jeep, swerved, hit a road side tree and overturned the jeep.The jeep driver died on the spot,three other passenger sustained serious injury. Police arrived and injured were taken to GMCH immediately.


Q2. Prepare a report using the information given bellow. 

Road accident - March 10, 2019 - 9 am - Ganeshguri flyover, Guwahati - a speedy motorbike knock down an old man - the man dies, driver severly injured - policemen and ambulance van arrived - the injured and dead body sent to GMCH. 

Ans:                                 ROAD MISHAP/ACCIDENT
Guwahati: March 11: A fatal road accident was occured yesterday at Ganeshguri at 9am under the flyover. According to an eye witness a speedy motorbike knock down an old man while he was crosing the road. The old man died on the spot. Biker a college boy sustained several injury. Police men arrived on the spot, ambulance van called in. The injured was rushed to hospital for treatment and the dead body was sent for post mortem.


• Report writing on flood

Q3. A newspaper reporter visited to report on the havoc caused by flood in the district of Dhemaji. He made following notes in his notebook. Using his notes prepare a report for a newspaper. 

Dhemaji - 27 July - several embankments on the Brahmaputra breached - 600 villages affected - 30,000 hectres of crop damaged - 25,000 persons stranded - soldiers helped the rescue operation - relief provided by the district administration. 

Ans:                       DHEMAJI EMMERSED IN FLOOD
Dhemaji: 29 july: The recent situation is still critical in the Dhemaji district of upper Assam. Flood in Dhemaji sweeped out the peace of six hundred villages. According to the report 30,000 crops field damaged and 25,000 people stranded. Soldiers helped the rescue operation to make the situation swifter and relief materials provided to flood victims by the district administration.


Q4. A Flood relief work was done by students of Sankardeva Academy, Sivsagar. Write a report for local daily using the information given below. 

Date and time of work - how the place was reached - number of students taking place - number of people affected - relief materials provided. 

Ans:                            STUDENTS ON A MISSION
Sivsagar: July 18: The students of Sankardev Academy, Sivsagar went on a mission to provide some relief to the flood affected people of the district. 40 number students volunteered themselves under the guidance of senior teacher D. Deka. From school they reached the place by a hired bus and then on boat to the flood affected shelter. They distributed clothes, medicines, food items to the flood victims. Some local organisations also helped in the operation. Some more organisations should come forward to make the situation swifter.



• Report writing on robbery

Q5. A newspaper reporter was sent to Hatigaon to report on a bank robbery. He made the following notes in his note book. Prepare a report following the points below. 

Hatigaon - 7.11.2019 - 2:45 pm - State Bank India - four armed robber in a Sumu - looted fifteen lakh - cashier resisted - was shoot at - police investigation going on. 

Ans:                                        A DARING ROBBERY
Guwahati: 8 November: A daring bank robbery took placed yesterday at the State bank of India, Hatigaon branch around 11:30 am. four armed robbers came in a tata sumu, entered the bank and creating panic among the customer and bank stuff looted fifteen lakh. The cashier resisted but he was shoot to dead. Police investigation going on but no arrest has been made so far.



• Report writing on fire

Q6. A newspaper reporter was sent to report on a disastrous fire. Prepare a report for a newspaper using the information given below. 

Madhupur bazaar destroyed by a fire - October 15, - time 6 pm - a gas cylinder brust in a small hotel - fire spread - the nearest hut caught fire - the sheds of the bazar on fire - the fire brigade artived - nobody injured - the loss of property significant - fire was brought under control. 

Ans:                   MADHUPUR BAZAR BURNT TO ASHES 
Madhupur: 16 October 2010: The Madhupur bazar in the Goalpara district of Assam witnessed a tragic incident yesterday. The local bazar was completely destroyed by a huge fire, It occured around 6 pm. As reported fire broke out in a small hotel due to brust of a gas cylinder. the nearest thatched sheds of the bazar caught fire. It was a busy time in the bazar, people were trying to save life. smoke covered the area. Fire brigade was informed and arrived in fifteen minutes. Nobody was injured. After fifteen minutes fire was brought under control. Loss of property was sigficant, lakhs of property burnt down but no casualty taken place.

Ans:                       A DEVASTATING FIRE
Guwahati: February 17: A devastating fire broke out yesterday around 7 p.m. at a commercially busy point and hub of trades at Athgaon in the heart of the Guwahati city. The inferno had burnt down several godown and damaged several buildings. The fire originated from a chemical store due to short circuit. 3 workers lost lives and 8 injured. Five fire brigade arrived and finally able to douse the fire after about two hours fight. Injured were rushed to GMCH and deadbodies were sent for post mortem. Properties worth more 3 crores were guttered in the fire.


• Report writing on event

Q8. Prepare a report using the information given below

Celebration of Independence day - VKV Suklai- August 15 - 8 am - all the students and teachers gathered - Hoisting of national flag - singing of national anthem - Principal and others spoke - closing of the function.

Ans:                   INDEPENDENCE DAY CELEBRATION
Suklai: August 16: The 71st of India's Independence day was celebrated peacefully at VKV Suklai. All the students and teachers gathered on the school field at 8 am. Hon'ble Pricipal hoisted the national flag amidst the singing of national anthem. Principal and others also spoke on the occasion. The ceremony came to end after declared by the Principal.

Q9. Prepare a report using the information given below

Celebration of Republic Day - NNHSS, Namuligarh- 26 January - 8 am - all the students and teachers gatgered - hoisting of national anthem - Principal and others spoke - closing of function. 

Ans:                      REPUBLIC DAY CELEBRATION
Namuligarh: January 27 : The Republic day of India was celebrated peacefully at NMHSS,Namuligarh. All the students and teachers gathered on the school field at 8 am. Hon'ble Pricipal hoisted the national flag amidst the singing of national anthem. Principal and others also spoke on the occasion. The ceremony came to end after declared by the Principal.


• Report writing for class 12 board exam 2022

Report writing for class 12, In class 9 and 10 report writing you get the topic or hints in your question paper and you need to arrange the topics and write the report. But in class 12 you will not get any notes/ hints in the questions. All you have to create an imaginary situation on the basis of topic that you are ask to write a report and then you have to add all the details by yourself.

Bangalore : December 5: A fatal road accident took places in the morning yesterday at M.G road Bangalore on 4th of December. Around 8 am students were hurrying to their schools and commuters were heeding towards their destinations. Then a screeching sound caught attention of all the people out there. A car over speed collided with a city bus. The bus driver tried to avoid collision but hit a school boy walking by the road side and died on the spot. Many passenger inside the bus injured. Police arrived and caught the drivers. Injured were hospitalised, the boy was identified as a students of St.Josephs school.


• Report writing on Train accident. 

Q12. You have witnessed a train accident in which a Delhi bound Guwahati express got derailed. Write a report to be published in the newspaper.

NJP: November 25: 50 people were killed and over hundreds of passengers got injured in a tragic train accident near NJP last night. Two superfast express collided with each other. The Delhi bound Guwahati express which was coming from Guwahati hit the Saraighat express. Both the trains were late against their scheduled time and heeding fast to manage timing. The collision was so massive that 2 bogies of the Saraighat express got derailed. Due to communication failure resulted in a tragic accident, source said. The railway minister arrived at the spot and ordered enquiry. He also promised of proper investigation and offer sympathy for the victims.

Q13. Prepare a report on scarcity of drinking water in your locality.

Annakulam: September 1: A drought like situation has affected in and around Annakulam. About 800 families have been affected this drought. All the tanks and wells of the area have gone dry. There is no tube in the villages. Increase in population has worsened the condition. Along with the people the domestic animals also have been facing the problem of shortage of drinking water. Till this report no government measure has been envisaged to be taken. Some NGO have come forward for the remedy of the problem.

Q14. Recently your school celebrated the world environment day. Giving details of the celebration write a report for your school magazine.

The world environment day was celebrated on 5 June at XYZ Academy, Devapur. At 8 am, the students of the school gathered at the school campus and planted trees. At 10 am meeting was presided over by the hon'ble principal and some distinguised persons of the locality were present. Social activist Mr XYZ gave a valuable speech on the global warming and importance to protect our environment. A on the spot art competition was also organised among the students. A short play was performed to entertain the guest. The celebration was a grand one as the students along with the local people became conscious about their role on the earth.

Guwahati: October 22: A cleanliness week was celebrated at XYZ college. On the first day the Principal and other stuff including students planted trees around the college and main road. A member of World health club was invited as the chief guest, who gave an enlightening speech on the importance and awareness of cleanliness. Then the safai abhiyan competition was held among the students. An exhibition on pollution and its out come and a play on theme of cleanliness was also organised. All the students took part in all the competition were encouraged.The winners were awarded in that eve.

Dhemaji: 10th July: Due to heavy and continuous rainfall for a week, the recent situation is very critical in Dhemaji district. Panic gripped in Dhemaji as it submerged under the overflowing water of the river Brahmaputra. The speedy current of the water breached the embankment of the river Brahmaputra. Misery of 7.000 people found no bound. The villagers had to take shelters on their roof tops. The neighbouring villages came for their rescue and the local authorities were also informed. As part of quick remedy, rafts and boats were made ready and the affected villagers along with their livestock rescued to a safer location. 



17. You are Gopal / Anita of Govt. Higher Secondary School, Karimganj. Your School has organised a Blood Donation Camp on the occasion of its Golden Jubilee Celebrations. Write a report in 100 - 125 words as an editor for your school magazine, on this widely acclaimed activity.

A blood donation camp was organized at our school on last Monday on the auspicious occasion of the Golden Jubilee Celebration of our school. This time the school authority decided to celebrate it with a noble cause and hence the blood donation camp was organized. The camp was inaugurated by the chief guest Diganta Deka, a social activist, in the presence of Principal Sagarika Kalita. It was held in the school hall. All the preparations like arrangements of bed, sanitation etc were made. A team of doctors and nurses from the local govt, hospital reached in time. The chief guest was the first person to donate the blood then the teaching and non-teaching staff of our school  also donated blood. Students from our school and others schools also participated in the camp. I was also enthusiastic for donating my blood. After donating blood fruits and milk were given to the donators. Some prominent persons of the locality also donated their blood for a noble cause. It was followed by a cultural programme to entertain and celebrate the Golden Jubilee of our school. We the students decided to donate blood for the noble cause in future also.

Your school joined a campaign organized by various agencies of your city to create awareness among people to conserve water. Water scarcity has become a big issue. To make people aware to conserve water, Merryland Public School joined a campaign organised by various agencies of the city. People in large numbers attended it and were asked to conserve every drop of water and not waste it unnecessarily. A documentary, featuring the techniques of rain water harvesting, was shown to the people. Besides that, the students formed many groups and visited many places where reports of water shortage are prevalent. Also, handed out booklets containing information about the need to conserve water. The public showed active involvement in the campaign taking pledged never to waste water. They were encouraged to improve water management practices that reduce the wastage of water and enhance the beneficial uses of water. The campaign proved to be entertaining as well as a great success.

Baksa, January 18: Silpi Divas was observed to commemorate the death anniversary of Jyotiprasad Agarwala with a day long programme at the District Library Auditorium here yesterday at the District Library Auditorium at Mushalpur. Mr. Diganta Deka, a renowned cultural icon of Assam was invited as the chief guest of the programme. Inaugurating the function, the chief guest spoke on the rich contributions of Jyotiprasad Agarwala, the noted playwright, song writer, poet and filmmaker to Assamese culture. He also recollected the creative art and vision of Jyotiprasad Agarwala for which he is called Rupkonwar. Jyoti Sangeet, Drawing and speech competitions were also organised among school students on the life and works of the legendary personality. The programme ended with the singing of a Jyoti Sangeet.
